ROLE DEFINITION & RESPONSIBILITIES
Core Responsibilities
Prepare comprehensive monthly invoice packages from consolidated financial data files utilizing Microsoft Excel pivot tables and supporting scanned image backups.
Route completed invoice packages directly to Project Managers for formal review and operational billing authorization.
Generate and process pass-through invoices and clinical investigator invoices within the enterprise Oracle ERP system.
Compile and archive full PDF invoice packages, summaries, and scanned backups onto internal network repositories (M drive).
Transmit finalized PDF billing packages to global pharmaceutical clients via email or arrange physical hard-copy dispatches via courier when required.
Billing Management & Corrections
Regularly update and reconcile the internal Billing Repository following invoice creation, cost verification, and invoice number assignment.
Address and resolve invoice-related inquiries, disputes, and clarifications raised by internal operations teams or external clients.
Prepare and supply details to the Billing Supervisor for manual journal entries involving project-to-project re-codings or non-rechargeable operational costs.
Accurately execute credit notes, rebills, and billing repository adjustments in accordance with internal financial control standards.
