KOL Engagement Specialist

The KEE Solutions Specialist is part of the Customer Engagement Excellence (CEE) team within Astellas' Value Delivery organization.

CEE supports capabilities across Commercial, Market Access, and Medical Affairs while maintaining the integrity and independence of Medical Affairs.

The role supports the Congress & Events Process and Operations Chapter and contributes to day-to-day execution within an assigned Value Team.

Work involves cross-functional collaboration, stakeholder engagement, operational delivery, compliance, and continuous improvement in a global matrix environment.

Execute day-to-day activities aligned with the Value Team mandate and business objectives.

Support the Value Team Lead in delivering strategic priorities.

Apply subject-matter expertise to address business challenges and deliver measurable outcomes.

Collaborate with cross-functional stakeholders to advance prioritized deliverables.

Facilitate contracting and payment activities for Healthcare Professionals (HCPs) and Key External Experts (KEEs) through congresses, events, funding, grants, and other engagements.

Participate in concept meetings as required.

Enter engagement details into Veeva Event Management (VEM).

Complete applicable contract templates.

Raise purchase orders and ensure timely payment processing.

Monitor and respond to the central inbox and escalate issues appropriately.

Manage multiple congresses and events with tight deadlines.

Ensure engagement documentation is uploaded correctly and completely.

Arrange HCP/KEE travel in accordance with applicable compliance requirements.

Partner with Enablement Leads and other internal teams to deliver engagement activities.

Identify support gaps and develop appropriate solutions.

Support improvement strategies and other customer-data, congress, and event-support activities required to meet business needs.

Perform lead-capture reconciliation and related event-support activities where required.

Maintain strong adherence to pharmaceutical compliance requirements, company policies, standards, and best practices.

Ensure contracting, payment, travel, documentation, and event activities are executed accurately and compliantly.

Escalate operational or compliance issues through appropriate channels.

Identify opportunities to enhance processes and improve team effectiveness and efficiency.

Contribute to initiatives designed to improve operational processes and promote best practices.

Support knowledge sharing across the team.

Apply Agile principles and participate in relevant Agile ceremonies.

Promote collaboration, flexibility, and responsiveness to changing priorities.

Work effectively within a global matrix organization and collaborate across functions and regions.

Participate in ongoing professional development supported by the Chapter Lead.

Remain coachable and continuously develop subject-matter and operational capabilities.
