ROLE DEFINITION & RESPONSIBILITIES

Core Responsibilities & Contract Management

Process and manage end-to-end contracts and compliance documentation for medical congresses, scientific events, and Healthcare Organization (HCO) / Key Opinion Leader (KOL) external expert engagements.
Review country-specific compliance rules, manage approvals with local affiliate stakeholders, and resolve queries raised by country approvers and external experts.
Oversee vendor onboarding, OneCRM profile creations, contracting tool operations, and project delivery tracking within agreed SLAs.

Event Operations & Meeting Technology

Collaborate with brand teams, creative agencies, and third-party vendors to execute seamless logistics for medical meetings, conferences, and advisory boards.
Supervise program logistics including speaker agreements, hospitality coordination, attendee registration, audiovisual requirements, and risk mitigation plans.
Administer meeting and event platforms such as Veeva Vault CRM Events Management, Cvent, and SpotMe, providing technical support, troubleshooting, and user training.
Manage event budgets, perform post-event financial reconciliations, and analyze attendee data to deliver cost-efficiency insights.

Stakeholder Management & Mentorship

Lead regular connect meetings with global event leads, project requestors, and contracting leads to provide operational status updates.
Mentor and train team members on end-to-end contracting workflows and standard operating procedures (SOPs).
